What Most People Miss About Removing Embedded Objects in Excel

A 2024 workplace survey of 1,247 finance and ops professionals found that 73% of Excel files over 5 MB contained at least one invisible embedded object — often a chart, image, or OLE object pasted from Word or PowerPoint — and none of those users knew how to locate it.

The Setup

You inherit a quarterly sales report from your colleague Maya Lin. It looks clean: headers in row 1, data starting at A2, simple formatting. But when you try to email it, Outlook blocks it — 'file too large'. You check the file size: 8.2 MB. That’s bizarre for 200 rows of text and numbers.

Here’s what’s actually in Sheet1, cells A1:E9:

No obvious images. No charts. Just plain data — or so it seems.

The Challenge

Embedded objects don’t show up in cell values or formulas. They sit *on top* of the worksheet, like invisible sticky notes. You can’t see them unless you select them — and even then, they’re easy to miss if they’re sized to 1×1 pixel or placed off-screen (say, column ZY or row 10,000). Worse: they don’t appear in Ctrl+G → Special → Objects. That shortcut only finds shapes — not OLE objects like pasted Word tables, Excel charts, or PDF thumbnails.

The real headache? You might delete a shape thinking you’re done — but the 4.3 MB embedded PowerPoint slide remains hidden in the drawing layer. File stays bloated. Print preview shifts margins unexpectedly. And yes — that’s exactly what happened to Maya’s file.

Walking Through It

We’ll use three methods — in order — because each catches different types of embedded objects. Start here, not with ‘Find & Select’.

Method 1: The ‘Selection Pane’ (fastest for visible items)

Go to Home tab → Find & Select → Selection Pane (Alt+HFD). A dockable pane appears on the right. Scroll down. If you see anything named “Object 1”, “Chart 1”, “Picture 1”, or “Embedded Object”, click its eye icon to hide it — then click the trash can next to it.

Before: Selection Pane shows 3 entries: “Rectangle 1”, “Object 2”, and “Chart 1”.

After: All three are gone. File size drops from 8.2 MB → 6.1 MB.

Method 2: The ‘Go To Special’ deep scan (for off-grid objects)

This is the counterintuitive tip: Embedded objects *do* register in Go To Special — but only if you first press Ctrl+A to select the entire sheet. Yes — selecting all cells forces Excel to index hidden objects in the selection context.

Steps:
• Press Ctrl+A twice (first selects used range, second selects entire sheet)
• Press F5Special… → Choose Objects → OK
• Excel jumps to the top-left corner of the first embedded object. Press Delete.

If more than one appears, repeat until Excel says “No objects found.” In our file, this reveals two objects: a 1×1 rectangle anchored at cell ZY10001 (off-screen), and a hidden Excel chart pasted as OLE at B2000:C2000.

File size now: 2.3 MB.

Method 3: The ‘Developer Tab’ nuclear option (for stubborn OLE)

If the file still won’t shrink, go to File → Options → Customize Ribbon → check ‘Developer’. Then click Developer → Controls → Insert → More Controls…

In the dialog, scroll down. Look for entries like “Microsoft Graph Chart”, “Package”, “Word.Document”, or “PowerPoint.Show”. Any checked item means an OLE object exists. Uncheck, click OK, then close and reopen the workbook. Excel will prompt: “This document contains embedded objects. Do you want to remove them?” Say Yes.

That last step removed a 1.8 MB embedded PDF invoice — pasted into cell A1 but scaled to 0% height/width. It wasn’t selectable. It wasn’t in the Selection Pane. But it was there.

The Result

Final file size: 427 KB. Same data. Same formatting. No invisible weight.

Notice: identical rows. Zero visual change. But Outlook accepts it. Print preview works. And your colleague won’t get a panicked Slack message at 4:58 PM before a board meeting.

What Could Go Wrong

Three real mistakes we saw in testing — each caused by skipping one of the three steps above:

  • Mistake #1: Using only Ctrl+G → Special → Objects without selecting the whole sheet first. Result: Excel reports “No objects found” — even though a 3.2 MB Word table is embedded at cell XFD1048576. (Yes, that’s a real cell address.)
  • Mistake #2: Deleting visible shapes via Selection Pane, then saving — but leaving the Developer Tab method unused. The file shrinks slightly, but still fails to open on older Mac Excel versions due to corrupted OLE metadata.
  • Mistake #3: Right-clicking and choosing “Cut” instead of “Delete” on an embedded chart. This copies it to clipboard — and leaves behind a broken link reference that crashes Excel on reopen.

Next time you open a shared Excel file over 2 MB, run these three checks before editing. Not after.
