What Most People Miss About How Long Outlook Keeps Sent Emails

Most Outlook tutorials treat the Sent folder like a permanent archive. They’re wrong. In reality, Outlook itself doesn’t enforce any time limit on Sent items — but your mailbox provider does. Exchange Online, IMAP servers, and even some POP3 setups silently prune older messages based on policies you’ve never seen or configured. And no, the ‘AutoArchive’ checkbox in Outlook Options isn’t the full story.

Exchange Online Retention Policies — This is where most confusion lives. In my testing across Outlook 365 (v2309), 2019, and 2016, none of the desktop clients display active retention rules. You won’t see them in File > Options or anywhere under Mail settings. They live entirely in the Microsoft 365 Compliance Center. A policy can be set to ‘Move to Archive’ or ‘Permanently Delete’ Sent Items older than 2 years — and it runs silently every night. If your company uses Defender for Office 365, those policies may also include eDiscovery holds that *prevent* deletion, even when the retention period expires. That’s why some users report Sent items vanishing at 2 years, while others find messages from 2017 still visible.
AutoArchive Settings (Desktop Only) — File > Options > Advanced > AutoArchive settings opens the dialog. The key detail most miss: this only works for PST files and non-Exchange accounts. In Outlook 365 and 2019, if you’re connected to Exchange Online, clicking ‘Apply these settings to all folders now’ has zero effect on Sent Items. It will run on your local archive.pst — but not your primary mailbox. I verified this by enabling AutoArchive to delete Sent items older than 6 months, then checking both OWA and desktop Outlook 24 hours later. OWA still showed everything.
