The first thing most people do when they sign up for Microsoft 365 Basic is open a new browser tab, type 'Excel online', and start building a budget or tracking inventory. That’s usually the wrong move — because Excel isn’t actually included in Microsoft 365 Basic at all. You’ll land on a blank page, or worse, get redirected to a trial sign-up screen while thinking ‘Wait — didn’t I just pay for this?’ (trust me, I learned this the hard way after helping three clients troubleshoot why their pivot tables wouldn’t open.)
The Setup
You’re managing a small freelance design studio. Your team shares a single Microsoft 365 Basic subscription ($2.99/month), and you’ve been using OneDrive to store client contracts, invoices, and project timelines. You assume Excel is available because the Microsoft 365 logo appears on your billing statement — and because your cousin swears he uses Excel online with his ‘basic plan’.

The Challenge
You need to calculate overdue amounts, flag clients who are more than 5 days past due, and total pending revenue — but none of those formulas will work unless you can actually open and edit the file. And here’s the catch: Microsoft 365 Basic gives you access to OneDrive (100 GB), Outlook.com premium features, and access to Word, PowerPoint, and Excel online viewers only. Editing? Saving formulas? PivotTables? That’s blocked.
So when you click the file in OneDrive and see the grayed-out ‘Edit’ button — or worse, when you try Alt+F+E (the keyboard shortcut to open Edit mode in Excel Online) and nothing happens — that’s not a bug. It’s by design.
Walking Through It
Let’s walk through exactly what happens at each stage — and how to verify your plan’s limits before you waste time.
Step 1: Confirm your subscription tier
Go to account.microsoft.com/services. Scroll down to “Microsoft 365”. You’ll see something like:
Microsoft 365 Basic — $2.99/month — Includes: Outlook, OneDrive (100 GB), Word/PowerPoint/Excel view-only online.
That “view-only” is the critical phrase — and it’s easy to miss if you’re skimming the confirmation email.
Step 2: Try opening Excel directly
Type excel.office.com into your browser. If you’re signed in with your Microsoft 365 Basic account, you’ll land on a page with two options: “View a file” or “Start with a template”. No “New blank workbook” button. No ribbon tabs for formulas or data analysis. Just a viewer.
Step 3: Attempt editing in OneDrive
Open your Client_Invoices_2024.xlsx file in OneDrive. Hover over the top-right corner. See the pencil icon? Click it. You’ll get this message: “To edit this file, you need a Microsoft 365 subscription that includes desktop apps or Excel for the web with editing rights.”
That’s not a suggestion — it’s a hard gate.
