The Setup
You’re auditing Q1 sales for five regional offices. The raw data lives in Sheet1, imported from a local CSV file last Friday. No cloud sync. No OneDrive link. Just a 12-row table saved on your laptop’s C:\Reports\ folder.

The Challenge
You need to calculate regional averages, flag reps with sales under $35,000, and sort by date — all while your laptop is on a flight (no Wi-Fi). You also need to know whether the =XLOOKUP() in column E pulls from a local sheet or an online database.
Most people panic and close Excel. They assume:
- Formulas like
=SUMIFS()require live internet to validate ranges - Opening a file with Power Query means it will auto-refresh on launch — even offline
- Ctrl+S only saves if you’re logged into Microsoft 365
None of those are true. But verifying which parts *actually* depend on internet takes 12 seconds — not guesswork.
Walking Through It
Open the file. Go to File > Account. Look at the top-right corner.
If you see "Product Activated" and no “Sign in” button — you’re offline-capable. If you see "Work or School Account" or "Microsoft Account" with a green dot — internet isn’t required unless you trigger a cloud-dependent feature.
Now test it. Disconnect Wi-Fi. Try these four actions:

What Could Go Wrong
Three mistakes that make people think Excel needs internet — when it’s really user error:
1. Auto-refreshing Power Query queries enabled
You built a query pulling from SharePoint. You didn’t uncheck “Refresh data when opening file” in Query Options. Excel tries to reach SharePoint on launch → fails offline → shows red error banner. Fix: Right-click query → Query Settings → uncheck auto-refresh. Done.
2. Using =WEBSERVICE() or =FILTERXML() functions
These *do* require internet — but they’re rare. If your file contains either, Excel won’t warn you until you recalc (F9) or reopen. Check Formulas > Name Manager for defined names using them. Delete or comment them out before flying.
3. Saving to OneDrive/SharePoint with “AutoSave” on
Even offline, Excel displays “Saving…” in status bar and may hang for 10–15 sec trying to push to cloud. Disable it: File > Options > Save → uncheck “Save AutoRecover info every X minutes” and “Keep the last autosaved version if I close without saving”.
