The Setup

The Challenge
You open the workbook. The Form tab shows 'Can't sync with forms please restart Excel'. You try refreshing — nothing. You click Data > Refresh All — error persists. You close and reopen — same message appears within 10 seconds.
This isn’t about corrupted files or missing permissions. It’s about Excel holding onto stale form metadata while the backend (SharePoint/Teams) updated the form schema — like adding a new dropdown field or changing validation rules. Excel doesn’t auto-clear its local sync cache.
The fix isn’t restart. It’s cache reset — but only the right cache.
Walking Through It
Step 1: Kill the background sync process (not Excel)
Press Alt + F, then T. That opens Excel Options. Go to Advanced → scroll to General → uncheck 'Enable background refresh'. Click OK. This stops Excel from fighting itself mid-sync.
Step 2: Clear the Forms cache manually
Close Excel completely. Open File Explorer. Paste this path into the address bar:%localappdata%\Microsoft\Office\16.0\Forms
Delete every file inside that folder. Do NOT delete the folder itself. These are cached form definitions — 2–3 KB XML files named like SP-ONB-2024-Q2_7b3a.xml.
Step 3: Reconnect the form (no restart needed)
Reopen Excel. Open your workbook. Go to Data > Get Data > From Other Sources > From Microsoft Forms. Don’t click ‘Refresh’. Click ‘New Source’. Enter the exact Form ID: SP-ONB-2024-Q2. Authenticate if prompted. Import as a table into Sheet2, starting at A1.
Step 4: Replace the old connection
Select the original table (A1:E9 in Sheet1). Press Ctrl + A to select all data. Press Ctrl + C. Go to Sheet2. Select A1. Press Alt + E, then S, then V — that’s Paste Special > Values. Now copy Sheet2’s full range (A1:E9) and paste it over Sheet1’s A1:E9 using Ctrl + V.

The Result
Your Sheet1 now contains clean, static values — no formulas, no live links. But more importantly: you’ve cleared the conflict. Next time you want live sync, go to Data > Queries & Connections. Right-click the Forms query → Edit. In Power Query Editor, click Home > Advanced Editor. Delete any line containing Web.Contents or SharePoint.Contents and replace with fresh source code from the re-imported connection. Then close and load.

What Could Go Wrong
Mistake #1: Deleting the wrong folder
You pasted %localappdata%\Microsoft\Office\16.0\Forms but accidentally navigated up and deleted \Office\16.0\ instead. That breaks all Office apps until repair is run. Always double-check the final folder name before hitting Delete.
Mistake #2: Forgetting to disable background refresh first
If you skip Step 1 and clear the Forms folder while Excel is running, the app immediately regenerates stale cache files — usually within 3 seconds. You’ll see the error again before you even switch windows.
Mistake #3: Using Paste > Keep Source Formatting instead of Paste Special > Values
This keeps the broken dynamic links intact. You’ll get #REF! and #VALUE! cells again — and worse, Excel may auto-reconnect to the corrupted source on next save.
